COMPENSATION
$24.00-$29.00 per hour, based on experience and qualifications

About the Role

DeBenonBroussard, LP (www.kingwoodcpa.biz), a Texas CPA firm, and its affiliate LifePlan Financial Services, LP (www.lifeplanfinancial.biz), a Texas Registered Investment Advisory firm, are seeking a Client Service & Operations Coordinator. The position supports both firms by coordinating client service, TaxDome workflow, deadlines, scheduling, billing, document delivery, and office administration. The coordinator handles routine administrative matters and directs technical tax, accounting, investment, and financial-planning questions to the appropriate professional.

Primary Responsibilities

Client Service & Communications
• Respond promptly and professionally to routine client-service and administrative inquiries and route technical matters to the appropriate professional.
• Assist with general email and telephone communications; track open items and ensure appropriate follow-up.
• Maintain client, prospect, and lead information in firm databases and systems, and handle confidential information with appropriate care and discretion.

Workflow, TaxDome & Tax Administration
• Use TaxDome to manage projects and client tax-administration processes, maintain workflow statuses and deadlines, request and track missing client information, and securely upload or provide documents.
• Monitor deadline and workflow systems; identify overdue, stalled, or incomplete items and follow up with clients and staff to keep work moving.
• Support timely completion and filing of tax returns, including assembling and securely delivering completed tax returns and other confidential documents.
• Escalate potential deadline, client-service, or workflow issues before they become problems.

Principal & Team Support
• Maintain calendars for the Principals and coordinate client and internal meetings for the team.
• Serve as a gatekeeper for the Principals by screening and prioritizing calls, emails, meetings, and client requests and directing matters appropriately.
• Provide administrative and project support to Principals and staff as business needs arise.

Billing & Office Operations
• Prepare one-time, monthly, and quarterly billing invoices and follow up professionally regarding outstanding invoices and accounts receivable.
• Monitor and order office supplies and coordinate maintenance of office equipment.
• Document and maintain checklists and procedures for recurring administrative processes and perform other duties as assigned.

Qualifications
• At least two years of experience in a tax, accounting, financial services, insurance, legal, or other professional-office environment.
• Strong client-service, organizational, communication, follow-through, and attention-to-detail
• Ability to manage multiple priorities and deadlines, solve routine problems, and escalate issues appropriately.
• Professional judgment and discretion with confidential client and firm information.
• Proficiency with Microsoft Word and Outlook, plus strong technology aptitude and willingness to learn new systems.

Preferred Experience
• Experience with billing/accounts receivable and Microsoft Excel
• Experience with QuickBooks Online, TaxDome, Lacerte, CRM /workflow systems, or a CPA/ tax preparation firm is preferred

Interviews and Start Date
Applicants selected for an interview will be contacted beginning the week of October 26. Interviews are expected to occur between late October and mid-November. The anticipated start date is the week of November 16.

Part-Time to Full-Time
After April 15th, 2027, the hired employee will be eligible to move to from part-time to full-time status (30 hours/ week: Mon-Fri 9a-3p) based on performance. Full-time status includes subsidized Aetna group health insurance, potential employer HSA contributions, PTO, and paid holidays.
