Help Wanted: Operations Assistant
North American Consultants (NAC) provides specialized services to insurance carriers and law firms, including medical reviews, bill reviews, engineering assessments, counter-affidavits, and investigative support. NAC coordinates expert reviews and related services to support informed decision-making throughout the insurance claims process.
THE ROLE:
We’re looking for an Operations Assistant to join our fast-paced team. This role is well suited for someone who learns quickly, stays organized, and is comfortable handling a steady workload in a deadline-driven environment.
You’ll support the preparation files for expert reviews, help coordinate assignments, and track deadlines across multiple insurance claims. While training is provided, the work requires strong attention to detail, good judgment, and professionalism, as you’ll be handling sensitive medical and legal records.
This is a hands-on role with consistent workflow and real responsibility, ideal for someone who wants to become useful quickly and build practical skills through day to-day experience.
WHAT YOU WILL DO:
1. Medical File Support:
- Review, sort, organize, and analyze legal, medical, and billing records, and occasionally
access radiological imaging software as part of expert case preparation.
- Send files to experts using Dropbox or other file-sharing systems; ship materials via FedEx when needed.
- Identify missing records or inconsistencies to help ensure files are complete and accurate.
2. Expert Coordination & Case Support:
- Assist with drafting instructions and summaries for experts, outlining the scope of review and questions to be addressed.
- Coordinate teleconferences and virtual meetings between experts and clients.
- Track deadlines, manage follow-ups, and help keep multiple assignments on schedule.
3. Communication & Systems:
- Communicate professionally with attorneys, adjusters, experts, and internal team
members.
- Use Microsoft Office, Salesforce, and internal systems to manage cases and assignments.
- Navigate multiple client file-sharing platforms and ensure all records are properly
accessed and accounted for.
- Maintain confidentiality and follow HIPAA requirements.
- Support additional administrative and operational tasks as needed.
WHO WE'RE LOOKING FOR:
- High school diploma or equivalent (some college is a plus).
- Some experience in an office, administrative, or customer service role is helpful.
- Familiarity with medical records and CPT codes is a plus but not required.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and deadlines in a busy, structured environment.
- Clear written and verbal communication skills.
- Dependable, professional, and willing to learn in a fast-paced setting.
